RE: 2018-19 Technology Distribution

Welcome back for the 2018-19 school year!  As the beginning of the school year rapidly approaches, it’s important to share information with you regarding your child’s technology so they are prepared on the first day.  We will continue to use Family ID to administer all of our technology forms and technology coverage payments.  Family ID is a secure registration platform that provides you with an easy, user-friendly way to register for our programs and helps us to be more administratively efficient.  Step-by-step instructions are located on the back of this letter. We DO NOT use paper forms.  If you do not have Internet access at home, you may come to any of the school offices to complete the online forms and pay for technology coverage, Monday through Thursday from 8 a.m. – 3 p.m.  Parents/guardians are encouraged to complete all online forms listed below prior to picking up laptops. Households that complete technology coverage registration BEFORE August 22 will receive a DISCOUNTED EARLY BIRD RATE!  Please review the additional documents in this mailing that provide information on free/reduced lunch status and medical/emergency contact information.


Family ID is being used for grades 5-12 insurance ONLY.  K-4 learners will receive information about device take-home directly from their learning facilitator at the start of the school year.  While in the Family ID portal, please be sure to review all policies with each child in your household, including the K-12 Learner Technology Coverage Policy, Parent/Learner Device Agreement, and Learner Network/Internet Safety Policy.  It is important that everyone is aware of the expectations for use.  There are electronic signatures required, and the technology fee can be paid via cash, check, money order, or online at the Family ID site using PayPal or a credit card.


Learners in grades K-4 will receive their iPad in their classroom the first week of school.  They will be permitted to take their devices home after they receive care instruction in Library/STEM AND at the discretion of classroom facilitators and administration.  Learning facilitators will send information home.


For learners in grades 5-12 and CTC, distribution will take place at Pequea Valley Intermediate School on Monday, August 13 from 1-7pm.  Please make sure a parent or guardian attends distribution with the learner.  Families will need to complete emergency contact information and free/reduced lunch information at the same time.  If you are choosing to pay the insurance fee with cash/check, please bring the payment with you.  Any learner going to CTC has the option to pick up their laptop, as long as they complete Family ID and elect technology coverage.  **If a child in your family used his/her laptop over the summer, please check your email for information on how that impacts registering siblings to use their PV devices.**


                        BEFORE learners can receive their technology at distribution or in classrooms, you MUST:

  • Update demographic and medical data in Sapphire Community Portal (instructions attached)
  • Complete your lunch status application (you may be eligible for a discount on tech coverage!)
  • Login or create an account with Family ID, and complete the 18-19 Technology Coverage Registration - GRADES 5-12 ONLY! (instructions attached)
  • Pay for technology coverage and outstanding obligations if needed
    • All of the items listed above can be completed at laptop distribution. Be prepared with your email address, email password, Family ID login, and Sapphire login.


If your child has any school or technology obligations from last year, they must be paid in full before a device can go home with your child.  If your child is not able to be present at laptop pick up, you may pick up the laptop for them.  However, in order for the computer to work at home, you will need to login to your child’s device and set up his/her new password at the time of pickup at PV. You may want to discuss this with your child prior to pickup and determine a password he/she wishes to use. Passwords must be a minimum of eight characters in length. If you cannot attend distribution, learners can pick up laptops in the Media Center of their school building on the first day of school.  Laptops cannot go home with learners in grades 5-12 until online Family ID forms have been completed, Sapphire data has been updated, and technology coverage has been paid.  Feel free to contact the building office or Technology Department with any questions or concerns.
